The Village Family Services is a community-based nonprofit organization focused on the prevention and treatment of child abuse and family violence. The agency serves children and families of primarily Latino descent living in the greater Los Angeles area that includes North Hollywood, Glendale, Burbank, Van Nuys, and San Fernando. Our holistic approach towards accomplishing our mission is to provide comprehensive bilingual/bicultural mental health services that address and prevent child abuse and neglect. Services are provided through five major areas: Mental Health, Foster Care, Domestic Violence, Parenting Support, and Wraparound Services.

Position Summary: Administrative Assistant needed to perform administrative and office duties for agency CEO/COO. The position requires an individual that is able to maintain strict confidentiality at all times, with ability to multi-task, work with minimal direction, and proactively perform and anticipate administrative needs.

    Minimum Requirements:
  • B.A., or 5 years experience performing administrative and office duties
    Position Objectives and Expectations (including but not limited to):
  • Proactively establishes, and maintains a highly organized filing system, that includes files, correspondence, and other records.
  • Answers and screens telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy; arranges conference calls.
  • Coordinates CEO’s calendar and schedules appointments. Maintains communication of schedule awareness and changes.
  • Prepares daily mail for CEO/COO
  • Reviews and responds to daily internal/external mail and overnight packages; sends and receives faxes
  • Composes, types, and distributes professional correspondence and memoranda, E-mails and faxes, utilizing individual initiative, as well as, in performing assigned tasks.
  • Coordinates travel arrangements; completes expense reports.
  • Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities requested by management, and recording and transcribing meeting minutes.
  • May supervise clerical support staff.
  • Other projects as assigned.
  • Support and update Web page.
  • Update web contact list.
  • Keep updated contact Donor list.
  • Conducts research; compiles and types statistical reports.
  • Meets and greets visitors in a courteous and professional manner.
  • Attends meetings and other functions as needed.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing.
    Additional Qualifications:
  • Excellent Verbal and written communication skills.
  • Proficient on Microsoft Word, Excel, Outlook, Powerpoint and Access.
  • Keystroke a minimum of 50 wpm.
